Scandefinition settings

In a ticket shop, the validity of a ticket is determined at the time of purchase and imparted to the ticket barcode. This can be done by the chosen capacity slot or by the ticket validity (period or x after purchase) in the sales period.

In addition, a scan definition is associated with the tickets within a sales period.

The established scan definition defines the settings for each scan group. The most common scan definition is ‘Entrance 1x’. Basically, this means that the scan group Entrance is activated, and the maximum number of scans is set to one. All other settings are optional.

The options for scan settings within a definition

  • Maximum number of scans: choice of 'Unlimited' (e.g. subscription) or ‘Quantity’ (e-tickets usually one)
  • Claim interval: to be used with a scan quantity greater than 1, creates a restriction between new scans

  • Validate date only: scan by date (instead of date and time)
  • Validate time slot subscriptions: a time slot reservation for your subscription is required for this. Without a valid time slot, the subscription cannot be validly scanned.

If you use this setting in combination with punch card subscriptions, then the number of scans is valid again in each time slot reservation until the card runs out. If you are allowed one entry on one time slot reservation then set this number to 1. 

  • Use required scan group for claims: if set, the required scan group will have to contain a scan before a correct scan can be registered in the current group.

  • Extra time before and after validity: gives extra validity via the scan definition that is given to the tickets on top of the validity from the sales period. This is not visible to the customer. 

  • Check-out time: the validity that is allowed between scanning in-out in minutes. In the case of multiple/unlimited scans, the check-out time counts as a total. Meaning that the time is not reset after checking out and checking back in.

Example: Ticket is scannable 10 times, check-out time is set to 10 hours. If checked out for the first time after 2 hours, there are still 9 possible (in)scans and 8 hours of time on the ticket/subscription.

  • Time margin: the margin added for timely scanning out.
  • Check-out time upgrade: the additional time granted on the existing ticket when purchasing item with this setting.
  • Checking in and out without previous scan: this setting eliminates the need to check in to check out, and vice versa.
  • Daily check-in and check-out reset: checking this option resets check-ins and check-outs every day. Turn it on when you want to assign the check-out time to the product every day at check-in.

Example: Subscription unlimited access + unlimited 2 hours of gaming in Game Hall. 
Number of scans: unlimited, check-out time 120 minutes, checkbox on for reset check-in and check-out. 

  • Number of check-outs may equal number of check-ins: checking this setting allows multiple check-outs. The number of check-outs may equal the number of check-ins.
  • Increase capacity at check-out: the first check-out increases capacity of time slot(s) associated with the reservation of this ticket (provided time slots are not in the past). Maximum number in time slot may be overwritten by this.

  • Absolute validity: enter a differing fixed validity period here. This counts as a restriction on the original validity (so cannot provide additional validity). You can set more than one absolute validity.

  • Relative validity: enter a relative validity here. This applies as a restriction on the original validity (so cannot provide additional validity). Example could be a Friday afternoon ticket at reduced fare. The relative validity is then Friday from 15:00 to 18:00. You can set more than one relative validity.

  • Message: the sound played on the scanning device upon a successful scan.
  • Color: the color displayed on the scanning device upon a successful scan.

  • Printing: it is possible to create and link a template in the designer for printing, for example, a badge after a successful scan. The printer that the template should be printed with should also be set (in scan app).
